Bank Statement to Xero with Precoded Account Codes

Convert PDF and scanned bank or card statements into the CSV layout Xero's statement import expects, with account codes and tax rates already filled in from your rules, so a client's missing months reach bank reconciliation ready to approve.

A CSV in Xero's own column layout

Xero accepts statement lines from a CSV file, but it reads specific columns in a specific order and refuses rows without a date or an amount. The Xero export follows that layout exactly, so the import screen recognizes every field.

  • Date, in the date style your Xero organisation uses
  • Amount, signed, with money received positive and money spent negative
  • Payee, cleaned from the bank description
  • Description, carrying the full wording from the statement
  • Reference, filled with check or transfer numbers where the statement prints them
  • Check Number, as a separate column for check transactions
  • Account Code, taken from the chart of accounts mapping of the client
  • Tax Rate, set per category in your rules, for precoded lines

What precoded means in practice

When a statement line arrives in Xero with an account code and tax rate, Xero proposes the coding on the reconcile screen. The reviewer confirms instead of typing, which turns a month of catch-up for a client into a quick approval pass.

From statement to Xero in four steps

  • Upload the client's statements into that client's workspace
  • Review the extracted table, the suggested categories and the balance check per statement
  • Choose the Xero export and confirm the chart of accounts mapping for this client
  • Download the CSV and import it into the matching bank account in Xero

Balanced before Xero sees it

Xero shows a statement balance next to the bank account, and a missing or doubled line creates a difference that someone has to chase during reconciliation.

Each statement is balance tested before the Xero file is produced. Opening balance plus money in, minus money out, must equal the closing balance the bank printed.

The export screen lists every statement with its verified closing balance, so after import you can compare the statement balance in Xero against a figure you already know is right.

If a page fails, the difference is shown with the page number and rows, and you correct the line in the editor before the file is written.

Where the file goes in Xero

In Xero, open the bank account from the bank accounts list, choose the option to import a statement, select the CSV and map any column Xero does not recognize automatically. After import the lines wait on the reconcile tab with the precoded account and tax rate suggested.

Import one statement period at a time, or a merged file covering several months for an account with no bank feed. Xero warns about lines that duplicate a previous import, so overlapping periods are easy to spot.

If a client books in QuickBooks instead, the same upload produces a QuickBooks file through the PDF to QBO converter.

Rules that improve each month

Categorization rules belong to the client workspace. When you correct a suggested account code, the rule is updated, so the next statement for that client arrives with fewer lines to fix. Rules can match on payee, description words or amount ranges.

Practices supporting several Xero clients keep each one in its own workspace, with its own mapping and rules, as described for bank statement converter for bookkeepers.

Xero export on Professional and Business

The Xero export is part of Professional at 149 USD a month, or 74 USD a month billed yearly, which also includes categorization rules, client workspaces and the QBO, QIF and OFX formats.

Business adds unlimited client workspaces, the API and SSO. Starter covers Excel and CSV. Compare everything on pricing.

Does Xero accept bank statements as PDF

No, Xero imports statement lines from CSV, OFX or QIF files, so a PDF has to be converted first.

What are precoded statement lines in Xero

They are lines that already carry an account code and tax rate, so Xero suggests the coding during reconciliation.

Can I import several months into Xero at once

Yes, export one merged file per account and import it into the matching bank account in one step.

Where do account codes come from

They come from the chart of accounts mapping and rules you set for each client workspace.

Does the Xero export handle credit card accounts

Yes, card charges are exported as money spent and payments as money received.
