How to Convert Bank Statement to Excel in Seven Steps
This is exactly what happens between dropping a PDF into StatementsConverter and importing a clean file into your accounting app, and how long the same job takes by hand.
The seven steps
- Upload. Drop a text PDF, a scanned PDF or JPG and PNG photos into the upload area. One statement or a batch of up to 20, 100 or 200 files depending on your plan.
- Reading and table detection. Each page is straightened and oriented, then the transaction table is located and separated from headers, footers, account summaries and promotional inserts.
- Extraction. Every transaction is split into date, description, check number, debit, credit and running balance. Descriptions spread over several lines are joined into one cell.
- Balance check. The opening balance plus credits minus debits must equal the closing balance. Each page is tested too, and on statements with a running balance every row is compared with the balance printed after it.
- Review and edit. Statements that balance are marked ready. Any mismatch is highlighted on the page and rows where it starts, and you fix it in the table editor with edit, split, merge, delete, flip sign and undo.
- Export. Download XLSX or CSV on any plan, or QBO, QIF, OFX and Xero CSV on Professional and Business, as one file per statement or one merged file per account.
- Import into the accounting app. Open the XLSX in Excel, upload the QBO through Web Connect in QuickBooks, import the CSV into QuickBooks Online or Xero, or load the QIF into Quicken.
What to upload
Upload the statement exactly as the bank or the client sent it. There is no need to remove cover pages, rotate scans or split a combined PDF that holds several months: the reader finds each statement period on its own and sorts the batch by account and date.
Why step four comes before step five
Reviewing a converted statement line by line is slow and unreliable, because the eye glides over a missing row. Checking the arithmetic first means the review only starts where the numbers disagree. On most clean digital statements there is nothing to review at all. On scans and photos the check narrows a possible misread down to one row. The scanned case is explained in detail on the scan bank statement to Excel page.
Getting the file into QuickBooks, Xero or Excel
For Excel users the XLSX opens as a formatted sheet with header fields above the table and numeric amount columns ready for formulas and pivots. For ledger imports, the QBO format is usually the smoothest route into QuickBooks because it carries the account and avoids column mapping. Xero accepts the precoded CSV, and the plain CSV works with almost any other tool. The PDF to QBO converter page covers the QuickBooks route in more detail.
The manual method compared with a converter
Doing it by hand means opening the PDF next to a blank sheet, typing date, description and amount for every row, adding a running total column, and comparing the final figure with the closing balance. If it does not match, you start hunting for the typo. Copy and paste from a text PDF is faster but scrambles columns and wrapped lines, and does not work at all on scans.
| Step | By hand | With StatementsConverter |
|---|---|---|
| Get rows into a sheet | Type or paste every line | Upload the file |
| Fix wrapped descriptions | Join cells manually | Joined automatically |
| Prove the totals | Build a running total and compare | Balance check on every page |
| Find an error | Reread the statement | Go to the flagged row |
| Prepare for import | Reformat columns per app | Export QBO, QIF, OFX, Xero CSV or CSV |
Computed example of the time difference
This is a computed example, not a customer result. Assumptions: a bookkeeper processes 40 statements a month, retyping takes 20 minutes per statement (the middle of a typical 10 to 30 minute range), reviewing a converted statement takes 3 minutes, and a staff hour costs the firm 45 USD (within a typical 35 to 60 USD range).
By hand: 40 statements times 20 minutes is 800 minutes, about 13.3 hours, or roughly 600 USD of staff time a month.
With the converter: 40 statements times 3 minutes is 120 minutes, 2 hours, or about 90 USD of staff time.
The difference is about 11.3 hours and 510 USD a month. At four pages per statement the job uses 160 pages, which fits inside Starter's 400 page allowance at 24 USD a month billed yearly.
Can I convert a bank statement to Excel without retyping anything?
Yes. Upload the PDF or photo, let the balance check confirm the rows, and download the XLSX.
How long does a conversion take?
A typical digital statement of a few pages finishes in well under a minute. Large scanned batches take longer, and you can keep working while they process.
What if the balance check fails?
The table opens on the first row where the numbers stop matching. Correct that row, and the check runs again immediately.
Can I try it before choosing a plan?
Yes. Try it with one statement, no card needed, and see the first rows and the balance check result.
Does the same process work for credit cards?
Yes, with a check based on the card summary instead of a running balance.
