PDF Bank Statement to QuickBooks, Checked Before You Import

QuickBooks imports transactions from a bank feed, a Web Connect file or a CSV, but not from a PDF. StatementsConverter reads the PDF, checks it against the statement's own balances and gives you a QBO or CSV file that QuickBooks Online and QuickBooks Desktop accept.

When the bank feed does not cover what you need

Bank feeds in QuickBooks usually reach back about 90 days, and some banks and card issuers do not connect at all. Older months, closed accounts, a feed that dropped for a few weeks and statements from a previous bookkeeper all exist only as PDFs.

Typing those transactions into the register is slow and error-prone. Importing a file is fast, as long as the file is complete and dated correctly. The hard part is making that file from a PDF without losing rows.

PDF to QuickBooks in four steps

  1. Upload the PDF statements, scans or photos for the account. Several months can go in one batch.
  2. AI reads the transaction table and extracts date, payee description, check number and amount for every row.
  3. The balance check compares opening balance plus credits minus debits with the closing balance. If a row is missing, the page and row range are flagged before you export.
  4. Export a QBO Web Connect file, or a CSV with the three-column or four-column layout QuickBooks expects, and import it.

QuickBooks Online import

In QuickBooks Online, open Banking, choose Upload transactions, select the QBO or CSV file and pick the account it belongs to. The transactions appear in the For Review tab, where you match or add them as usual. The full walkthrough is in our guide on how to import bank transactions into QuickBooks Online.

QuickBooks Desktop import

In QuickBooks Desktop, go to File, Utilities, Import, Web Connect Files, select the QBO file and link it to the existing bank or credit card account. The transactions land in the Bank Feeds center for review. The QBO format and its options are explained on the PDF to QBO converter page.

Avoiding duplicates

Each exported transaction carries a stable identifier, and you choose the date range before export. Export only the months the feed does not cover, and QuickBooks will not show the same deposit twice.

Catching up six months for one account

This is a computed example with stated assumptions, not a customer result.

Assumptions: six monthly statements of 4 pages each with about 60 transactions per month, manual entry at 20 to 40 seconds per transaction, staff time at 35 to 60 USD an hour.

Manual entry of 360 transactions takes 2 to 4 hours, which is 70 to 240 USD of staff time. The conversion uses 24 pages, a small part of the 400 pages included in Starter.

Item Low case High case
Transactions over six months 360 360
Seconds per typed transaction 20 40
Hours of entry 2 4
Cost at 35 to 60 USD an hour 70 USD 240 USD

Choosing a plan for QuickBooks imports

The QBO export starts on Professional, at 74 USD a month billed yearly (888 USD a year) or 149 USD month to month, with 1,500 pages, 3 seats, QBO, QIF, OFX and Xero exports, categorization rules and 25 client workspaces.

Starter, at 24 USD a month billed yearly (288 USD a year) or 49 USD month to month, exports XLSX and CSV. CSV imports into QuickBooks Online through the same Upload transactions screen, so Starter works when you are fine mapping columns.

Business, at 249 USD a month billed yearly (2,988 USD a year) or 499 USD month to month, adds 5,000 pages, 15 seats, unlimited client workspaces, API, SSO and audit log. Business Plus, at 499 USD a month billed yearly (5,988 USD a year) or 999 USD month to month, raises pages to 12,000.

Every plan includes the balance check and support for scans and photos. See bank statement converter pricing.

Questions from QuickBooks users

Can QuickBooks import a PDF bank statement directly

No. QuickBooks reads bank feeds, Web Connect files and CSV files. A PDF has to be converted first, which is what StatementsConverter does.

Should I use QBO or CSV

QBO keeps the account link and works in both QuickBooks Online and QuickBooks Desktop. CSV works in QuickBooks Online and needs a column mapping on first import.

Does it work for credit card statements

Yes. Credit card statements convert the same way, and charges and payments get the right signs for a credit card account in QuickBooks.

Will categories carry into QuickBooks

QuickBooks applies its own bank rules on import. Our categorization rules help in Excel and Xero exports and in your review, while QuickBooks rules handle coding inside the For Review tab.

What about statements older than the bank feed range

That is the main use. Convert the older PDFs, export only those months, and the feed covers everything after.
