Bank Statement Converter FAQ
Answers to the questions accountants, bookkeepers and finance teams ask before they move statement work to StatementsConverter, from the balance check to data deletion and billing.
Accuracy and the balance check
How does the balance check work?
For each statement the converter takes the printed opening balance, adds every credit and subtracts every debit it extracted, and compares the result with the printed closing balance. If the numbers agree the statement shows Matched, and if they do not it shows Mismatch with the difference and the rows to review.
What should I do when a statement shows Mismatch?
Open the highlighted page and row range, compare it with the statement image shown next to the table, and correct the row in the editor. The check recalculates as you edit, so you know the moment the table ties out again.
How accurate is the converter on clean PDFs?
Bank-generated PDFs carry a text layer, so dates, descriptions and amounts are read directly rather than guessed. The balance check then confirms the whole table, which matters more than any accuracy percentage because it proves nothing was dropped.
Does it handle running balance columns?
Yes. When a statement prints a running balance, the converter reads it and checks each row against it, which narrows any mismatch down to the exact transaction.
Files and banks
Which banks and card issuers are supported?
Statements from any US bank, credit union or card issuer work, because the converter locates the transaction table on each page instead of depending on a template per bank. Layouts with separate debit and credit columns and layouts with one signed amount column are both read.
Can I upload scanned statements and phone photos?
Yes. Scanned PDFs and JPG or PNG photos go through the same reader as downloaded PDFs. Straight, well lit images give the best result, and the balance check tells you whether a faded page was read correctly.
How many files can I upload at once?
Starter accepts batches of 20 files, Professional 100 files, and Business and Business Plus 200 files. Files in a batch are grouped by account and sorted by statement period.
Can I convert credit card statements?
Yes. Purchases, payments, fees, interest and credits on card statements are extracted with the right signs, and the balance check uses the previous and new balance printed on the statement. See credit card statement to Excel.
Exports and accounting apps
Which export formats are available?
Excel (XLSX) and CSV on every plan, plus QBO, QIF, OFX and Xero precoded CSV from Professional upward. You can export one file per statement or one merged file per account.
Does it work with QuickBooks Online and QuickBooks Desktop?
Yes. QBO Web Connect files import into both, and QuickBooks Online also accepts the CSV export through its bank upload screen. The PDF to QBO converter page walks through both routes.
Can I import the result into Xero?
Yes. The Xero export is a precoded CSV with date, amount, payee, description and reference in the columns Xero's statement import expects.
Can I edit transactions before exporting?
Yes. You can change descriptions, dates and amounts, split or merge rows, flip a sign and delete a line in the browser, with undo for every change.
Security and data
How long do you keep my files?
Uploaded statements and their results are deleted automatically after 24 hours by default. Business plans can shorten or extend retention, and files from the sample conversion are deleted right after conversion.
Are my files used to train models?
No. Your statements are processed only to produce your conversion and are never used to train any model.
Who can see my clients' statements?
Only people with access to your account. On Business you control access further with roles, client workspaces, SSO (SAML) and an audit log. Full details are on bank statement data security.
Is data encrypted?
Yes. Files are encrypted in transit between your browser and the service and encrypted at rest while they are stored.
Plans and billing
Can I try it before paying?
Yes, once. Convert one statement on the homepage with no card needed, see the balance check and the first rows, then create your account to open the full table and exports.
How are pages counted?
One page is one statement page processed in your billing period, and the allowance renews with each period. Deleting a converted file does not return the pages it used.
Can I cancel anytime?
Monthly plans cancel anytime and run to the end of the paid period. Payments are final, with exceptions only for a double charge, a proven unauthorized charge or a total service failure, as set out in the refund policy.
What happens when I upgrade?
The price difference for the rest of the current period is charged immediately and the higher plan, with its larger page allowance, starts as soon as the payment goes through.
Teams and API
How many seats does each plan include?
Starter includes 1 seat, Professional 3 seats, and Business and Business Plus 15 seats with roles.
What are client workspaces?
A client workspace keeps one client's statements, exports and categorization rules together. Professional includes 25 client workspaces and Business includes an unlimited number.
Is there an API for developers?
Business and Business Plus include a REST API and webhooks. You send a statement file and receive balance-checked transactions as JSON or any export format. See the bank statement parser API.
