Bank Statement Converter for CPA Firms

A CPA firm receives statements in every shape: portal PDFs, scans, phone photos, twelve months at a time. StatementsConverter turns each one into Excel, CSV or QBO, proves it ties out to the printed balances, and keeps every client in its own workspace with seats, roles and an audit log for the whole team.

Why statement intake is a firm level cost

For one client, retyping a statement is an annoyance. For a firm it is a standing line item. A practice with 80 monthly bookkeeping clients and a tax book on top handles hundreds of statements before the first review, and the work usually falls to the cheapest person on the team, who is also the most likely to transpose a digit.

The cost is not only time. A wrong number found at review means a senior pulls the PDF, hunts the row and re-signs the workpaper. A converter that proves each statement balances moves that check to the start, so reviewers see exceptions and not every line.

How a firm runs it

  1. Create a workspace per client so vendors, rules and files never mix between engagements.
  2. Drop in the whole folder, including scans, card statements and phone photos.
  3. The balance check confirms opening balance plus credits minus debits equals the closing balance, and shows the page and rows that do not.
  4. Export XLSX for workpapers, CSV for tax or ledger imports, or QBO, QIF, OFX and Xero files on Professional and above.

Controls a firm expects

Seats scale from 1 on Starter to 3 on Professional and 15 on Business. Business adds roles, so a reviewer can export while a junior can only upload, and an audit log that records who converted and exported what. Files are deleted after 24 hours by default and are never used to train models. The security page lists the details to put in an engagement letter or a vendor questionnaire.

What intake costs a mid size firm

This is a computed example with stated assumptions, not a customer result.

Assumptions: 120 clients, 6 statements a month on average (business and card accounts), 4 pages each, 10 minutes of manual entry and checking per statement, and 40 USD an hour of staff cost.

Item Assumption
Statements a month 720
Pages a month 2,880
Manual time at 10 minutes each 120 hours a month
Staff cost at 40 USD an hour 4,800 USD a month
Fitting plan Business, 5,000 pages, 249 USD a month billed yearly

Even if only a third of the statements need manual work today, the plan cost is a fraction of the labor it replaces, and reviewers spend their time on exceptions.

Matching a plan to firm size

Starter, 24 USD a month billed yearly or 49 USD monthly, gives 400 pages, 1 seat and XLSX and CSV. It suits a sole practitioner.

Professional, 74 USD billed yearly or 149 USD monthly, gives 1,500 pages, 3 seats, categorization rules, QBO, QIF, OFX and Xero exports and 25 client workspaces. It fits a small firm.

Business, 249 USD billed yearly or 499 USD monthly, gives 5,000 pages, 15 seats, unlimited client workspaces, roles, an audit log and API access. It fits a multi partner firm.

Business Plus, 499 USD billed yearly or 999 USD monthly, gives 12,000 pages for the largest intake volumes.

Where CPA firms use it

  • Monthly bookkeeping and write-up work, pushed into QuickBooks Online through QBO files or CSV for QuickBooks.
  • Tax season intake for 1040 clients with business activity, see tax preparers.
  • Review and compilation engagements where each balance must tie to the bank.
  • Onboarding a new client with a year of back statements to catch up.
  • Scans from clients who still mail paper, see scanned bank statement to Excel.

Questions CPA firms ask

Can each client have a separate workspace

Yes. Professional includes 25 client workspaces and Business has unlimited ones. Rules, vendors and files stay inside the workspace, so one client's data never appears in another's.

Can several staff use one account

Yes. Professional has 3 seats and Business has 15. Business adds roles and an audit log so a partner can see who converted and exported what.

How does the firm know a statement was read completely

Every statement gets a balance check. Opening balance plus credits minus debits must equal the closing balance, and the result points to the page and rows that do not tie out.

Does it work with QuickBooks Online and Xero

Yes. Professional and above export QBO, QIF, OFX and Xero CSV files, and every plan exports XLSX and CSV. API access for custom workflows starts at Business.

How long are client files kept

Files are deleted after 24 hours by default and are never used to train models.
